This Privacy Policy governs the manner in which Fuhr Software, Inc. (“Fuhr,” “LobbyCentral,” “we,” “our,” or “us”) collects, uses, maintains and discloses information collected from users (each, a "User" or “you”) of the app.lobbycentral.com (app.lobbycentral.com) website and all products and services offered by Fuhr Software, Inc. and/or offered under the LobbyCentral® trademarks (the "Services") including end users of the Services. This privacy policy applies to all products and services offered by Fuhr Software, Inc. and all products and services offered under the LobbyCentral trademark (collectively referred to as “LobbyCentral”) including mobile applications, website services, and software.

Please read this Privacy Policy carefully to understand LobbyCentral’s policies and practices regarding user information. If you do not agree with LobbyCentral policies and practices, do not use the Services. By accessing or using the Services, you agree to this Policy. This Policy may change from time to time, without notice. Your continued use of this Services after LobbyCentral makes changes is deemed to be acceptance of those changes, and you agree to check this Privacy Policy periodically for updates.

Children Under the Age of 13

Our Services are intended for use by businesses and individuals aged thirteen (13) and older. We do not knowingly collect or solicit personal information from children under thirteen (13), and we do not permit such individuals to use the Services. If you believe a child under thirteen may have provided personal information to Fuhr Software, Inc. or LobbyCentral, please contact us at [email protected] so we can take appropriate action.

Information We Collect

LobbyCentral collects information in two primary contexts:

A. Information Provided by Users

Depending on how you interact with the Services, we may collect:

  • First and last name
  • Email address
  • Identity of the Subscriber organization you are visiting
  • Reason for visit
  • Date and time of visit
  • Any other information you choose to provide

Subscriber organizations may request additional information at their discretion. LobbyCentral does not control or guarantee the nature of Subscriber‑requested data.

B. Automatically Collected Information

We may collect:

  • IP address
  • Browser type and version
  • Device identifiers
  • Pages visited and interaction logs
  • Session timestamps
  • Cookies and similar technologies

This information helps us operate, secure, and improve the Services.

Billing & Subscription Information

LobbyCentral does not collect or process payment information through its software platform.

However, LobbyCentral may collect payment information from Subscribers (organizations subscribing to LobbyCentral) for the purpose of processing subscription fees. This information is handled securely by our third‑party payment processor and is not stored within or transmitted through the LobbyCentral application.

Examples of billing‑related information collected from Subscribers include:

  • Billing contact name, address, and email
  • Payment method details (processed securely by the payment processor)
  • Subscription plan and transaction history

This activity is separate from the visitor check‑in functionality of the LobbyCentral software.

Communications to Account Administrators

LobbyCentral may send periodic communications to designated account administrators associated with Subscriber accounts. These communications may include:

  • System maintenance notices
  • Service updates
  • Product announcements
  • Newsletters
  • Administrative or marketing materials relevant to account operation

Administrators may unsubscribe from non‑essential marketing communications at any time. However, certain operational or service‑related notices may still be sent, as they are required for proper account management and system functionality.

How We Use Information

LobbyCentral uses collected information to:

  • Operate, maintain, and provide access to the Services
  • Improve system performance, reliability, and user experience
  • Communicate with Users regarding service updates, support, or account matters
  • Monitor and protect the security and integrity of the Services
  • Comply with applicable laws and regulatory requirements

LobbyCentral does not sell personal information.

Subscriber‑Requested Information

Subscriber organizations may collect additional information from Users through the Services (such as identification details, visit purpose, or uploaded documents). LobbyCentral processes and stores this information solely on behalf of the Subscriber, and only to the extent necessary to provide the Services.

Subscribers control how they use the information they collect. LobbyCentral is not responsible for a Subscriber’s independent data‑handling practices. Users should review the Subscriber organization’s own privacy policy for details on how that information is used.

Public Records Requests (Government Subscribers Only)

Some Subscriber organizations, such as government agencies, may be subject to public records laws that require them to disclose certain information upon request. LobbyCentral’s role is limited to providing the software platform used to collect and store data on behalf of Subscribers.
Decisions regarding the retention, release, or disclosure of records rest solely with the Subscriber organization. LobbyCentral does not review, process, or respond to public records requests made to any Subscriber, nor does it determine whether a Subscriber is subject to such laws.
If you are interacting with a government Subscriber, any information you provide through the Services may be subject to disclosure under applicable public records statutes.

How We Share Information

We do not sell, trade, or rent Users’ personally identifiable information to others.  However, we may disclose personal information that we collect, or you provide as described in this Privacy Policy (a) to fulfill the purpose for which you provide it, including sharing with any third-party services that assist us in providing the Services you receive from us, (b) for any other purpose disclosed by us when you provide the information, (c) otherwise with your consent. We may also disclose your personal information (d) to comply with any court order, law, or legal process, including to respond to any government, regulatory request, or applicable public records request; (e) to enforce or apply our terms of use, if any, and other agreements, including for billing and collection purposes; and (f) if we believe disclosure is necessary or appropriate to protect the rights, property, or safety of our customers, or others.

All third‑party processors are required to follow appropriate data‑protection obligations.

Mergers/Acquisition

For the purpose of developing and expanding our business, we may share, rent, sell or buy business assets. In such transactions, customer information is generally one of the transferred business assets.  Also, in the event Fuhr Software, Inc. or LobbyCentral or its assets are acquired in a merger or other similar transaction, customer information will be one of the transferred assets. 

How We Protect Information

We adopt appropriate data collection, storage and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our Services. Sensitive and private data exchange between the Services and its Users happens over an SSL secured communication channel and is encrypted and protected with digital signatures. Please be aware that, although we endeavor to provide reasonable security for information in our possession and control, no security system can prevent all potential security breaches, and we bear no liability for uses or disclosures of personal data or non-personal data due to no fault of ours including, but not limited to, errors in transmission.

Accessing Your Personal Data

Depending on your jurisdiction, you may have rights to request access to or correct any personal information that you have provided to us. You may request to have us delete your personal data; however, we do not guarantee that we can comply with all requests and we may retain certain data that is necessary for the products or services or that is required for our legitimate business purposes or legal or contractual record keeping requirements, including compliance with all applicable public records requests' laws. We may keep raw data from your use of the Services and information you submit to the Services but will work to remove all personally identifiable information from such content. Requests may be submitted to [email protected].

Data Retention

LobbyCentral retains personal information only as long as necessary to:
  • Provide the Services
  • Comply with legal obligations
  • Resolve disputes
  • Enforce agreements
When data is no longer required, it is deleted or anonymized.

LobbyCentral uses cookies and similar technologies to maintain secure session functionality, improve performance, and analyze usage patterns. These cookies are essential for the operation of the Services. If cookies are disabled in a user’s browser, the Services may not function properly or may be inaccessible.

It is our policy to post any changes we make to our privacy policy on this page. If we make material changes to how we treat our users' personal information, we will notify you.  The “Effective Date” at the top of the Policy reflects the most recent revision. You are responsible for ensuring we have an up-to-date active and deliverable email address for you, and for periodically visiting our Services and this Privacy Policy to check for any changes. If we are acquired or merged with another company, your information may be transferred to the new owners in order to continue to contact you. Continued use of the Services after changes are posted constitutes acceptance of the updated Policy.
